Your rhythm

Making it yours

Change the service menu to your own prices and times, set your commission percentages in the commission formula, and delete the sample clients once you have entered a dozen of your own. Type in any cell or drag cards between columns; every total updates by itself.

Deposits and gift cards

Long color services and bridal parties take a deposit when booking; record it as a payment with method Deposit and take it off the final bill. Gift cards are recorded as payments by gift card, so the day's totals still add up.

Example

A color client finishes her root touch-up. While she is under the dryer, the stylist checks the book and suggests a Tuesday in five weeks. At the desk, the client buys the color-safe shampoo the stylist used. The appointment shows Rebooked, Retail sold $32, and the stylist's commission includes 10 percent of the retail.

No-shows and late cancellations

Text a reminder two days before and on the morning of the visit. A no-show is set as No-show on the appointment; the client card counts them. After two, ask for a deposit when they next book. Be kind about the first one: life happens.

Reading the Dashboard

The rebooking donut shows the share of finished visits that left with a next appointment. Look at it by stylist at the monthly team meeting; the stylist with the highest rate shares how they ask.

What to record after every color service

Write it in Color formula on the client card, newest first, with the date:

Color corrections

Corrections take longer and cost more than the original service. Book a consultation first, price it in writing, and plan more than one visit if needed. Record each step of the formula.

Example

A regular's colorist is out sick. Another colorist opens the client card: 7G + 7N, 20 volume, 35 minutes on the roots, then a 9V gloss for 10 minutes. The client leaves with the same color she always has and does not notice the change of hands.

Mistakes

If a result is not what was agreed, tell the owner the same day. Offer a fix at no charge within a week. Write what happened and what was done on the card. Most clients stay when it is handled quickly and kindly.

Paying stylists

The Stylist commission on each appointment is 45 percent of the service price plus 10 percent of retail. Change the percentages in the formula to match your own pay plan, and keep tips separate: tips belong to the stylist in full. Add up each stylist's appointments for the pay period from the appointments table.

Example

At the end of a busy Saturday the front desk checks that 22 appointments are marked done, adds up card and cash, and sees that the texture spray is down to four bottles, under the reorder point of five. It goes on Monday's order.

Stylists who are shy about selling usually do better with one question: "Do you want to know what I used today?" It is advice, not a sales pitch.
